Terms of Service
The agreement between your school and MySchoolHQ
Last updated 13 October 2026
Written in plain words. If anything here is unclear, ask us at support@myschoolhq.app before you register.
1. The agreement
These terms are an agreement between the school that registers on MySchoolHQ (“the school”) and MySchoolHQ (“MySchoolHQ”, “we”). The person who registers confirms they are allowed to accept them for the school.
Staff, parents and pupils who are invited by a school use MySchoolHQ under that school’s account. They agree to use it sensibly (see “Using MySchoolHQ properly”), and their information is handled as our Privacy Policy explains.
2. Demos and getting started
Anyone can look around the MySchoolHQ demo school, which holds made-up data only and saves nothing, or ask us for a live demonstration. There is no free trial: a school that registers is billed from its first term. Nothing is charged automatically; we send the school an invoice each term, and the school decides whether to continue.
3. Prices and invoices
The price is per student, per term, on the plan the school chose when it registered (shown on the pricing section and on the school’s Billing page). Each plan includes the features listed for it there; safeguarding, a child’s own work and the school’s records are never withheld on any plan. Each term’s invoice counts the students enrolled when it is issued, so a child who joins mid-term does not change an invoice already sent.
Invoices can be paid by bank transfer or online through Paystack. We will tell schools at least 30 days before a price change, and a change never applies to an invoice already issued.
4. Late payment
If an invoice is unpaid after its due date, the school’s leaders see a reminder. If it is more than 30 days late we may, after telling the school in writing, limit the school’s account until it is settled. We never take a pupil’s lessons, results or report cards away because of a late invoice.
5. School fees paid by parents
When a school collects its own fees online, the money goes through Paystack straight into the school’s own Paystack account. MySchoolHQ never holds it and takes no share; Paystack’s charge is shown to the parent before they pay. The school is responsible for its fees, refunds and receipts to families, and MySchoolHQ provides the records to help.
6. The school's data
The school owns the records it puts into MySchoolHQ. We process them only to provide the service to the school, as the Privacy Policy sets out, and we keep them separate from every other school’s.
The school can export its records at any time from inside MySchoolHQ. If it leaves, it can ask us at support@myschoolhq.app to delete them, and we do so within 90 days.
7. What the school is responsible for
- having a lawful reason to record what it records, and telling parents and staff how their information is used;
- keeping the information it enters accurate, and inviting only people who should have access;
- choosing which features to switch on, including the AI features and text messages;
- naming a safeguarding lead and acting on safeguarding alerts MySchoolHQ passes on;
- keeping its own staff passwords safe, and switching on two-step sign-in for leaders where it can.
8. AI suggestions
Lesson plans, quizzes, games, comments and other AI drafts are suggestions for a teacher to check, edit and approve. They can contain mistakes. Teachers stay responsible for what they teach and publish, and the school stays responsible for what is sent to families.
9. Using MySchoolHQ properly
Nobody may use MySchoolHQ to:
- bully, threaten or harass anyone, or share content that is unlawful or unsuitable for children;
- try to see another school’s or another family’s information, or get round sign-in and permissions;
- upload harmful files, or attack, overload or copy the service;
- send messages families have not agreed to receive, or advertise to them.
We may suspend an account that does these things, and we tell the school when we do.
10. The service
We work to keep MySchoolHQ available, secure and backed up, and we improve it continually. We may change features; we will not take away a core part of what a school pays for during a term it has paid for.
The service depends on the internet and on providers such as hosting, email and payment companies, so we cannot promise it will never be interrupted. The register and mark sheets keep working offline and catch up when the connection returns.
11. Liability
Nothing in these terms limits liability that the law does not allow to be limited. Otherwise, MySchoolHQ is not liable for indirect or consequential loss, and our total liability to a school in any year is limited to what the school paid us in the 12 months before the claim.
12. Ending the agreement
A school can stop using MySchoolHQ at any time by telling us at support@myschoolhq.app; it pays for terms already invoiced. We can end the agreement with 60 days’ written notice, or straight away if these terms are seriously broken. Either way, the school can export its records before its access ends.
13. Law, changes and contact
These terms are governed by the laws of the Federal Republic of Nigeria. If they change in a way that matters, we will tell schools at least 30 days before. Questions go to support@myschoolhq.app.
